Chapter 2 — Snapshot Reports

Prerequisites
- You can access the Themis-Trace web app.
- Your role can access Reports and view the target customer(s).
- You know the snapshot date you want to analyze.

- Run a point-in-time on-hand snapshot.
- Interpret key columns (Received Date, Location Code, Gross Weight, Inventory Status).
- Use the report to reconcile physical inventory against the system
LESSON OUTLINE
Concept
- Customer Inventory Listing is a snapshot report.
- It shows what was on hand **at the start of the selected date (**12AM in the selected Time Zone).
- An item appears if it was received before that date and not shipped before that date.
- A blank Location field usually means the item is received but has not yet been assigned a storage location.
Run a Customer Inventory Listing report
- Open Reports.
- Select Customer Inventory Listing.
- In the parameter form:
- Set the Report date.
- Select the Customer.
- Select the Time Zone in which timestamps are displayed.
- This parameter is set to Central Standard Time (CT) by default.
- Optional: set Facility and/or Product Type filters.
- Run the report to load the embedded report.
Use the listing (common patterns)
- Find an item
- Search within the output for the item identifier you have (Item ID, serial, heat number).
- Capture Location Code and Inventory Status.
- Prepare for a physical count
- Run the report for the count date.
- Export/print using File in the embedded report.
- Use the row count as the system’s expected pieces on hand for that scope.
Export the output
- In the embedded report toolbar, select File.
- Select Export.
- Select Excel (or another format as needed).
- Save the exported file.
Safe edits
- If an on-hand item seems to be missing, avoid assuming “the report is wrong.”
- First confirm the item was fully received/confirmed.
- Then confirm it has not shipped with a finalized ship date.
Verification
- Row count matches Closing piece count from Customer Invoicing Detail for a period ending the day before the snapshot date (same filters).
COMMON QUESTIONS

Likely cause
The item was not fully received/confirmed, filters exclude it, or its receive date is after 12:00 AM on the snapshot date.
Checks
Confirm customer/facility filters.
Confirm the item has a completed receive date on or before the snapshot date.
Fix
Correct the underlying receive/finalization issue, then rerun.

Likely cause
The shipping order exists but shipment is not completed (no confirmed ship date).
Checks
Confirm ship date exists and shipment is complete.
Fix
Complete the associated shipment, then rerun.
