Chapter 3 — Work Orders

- You're familiar with opening and reading a Work Order (see "Working with Work Orders").
- You know whether you hold the Operator or Admin role for Work Orders.
Skills you'll build
- You can advance a Work Order through Open → In Progress → Completed.
- You can, as Admin, revert a Work Order backward when a correction is needed.
- You can reassign a Work Order within the rules for your role.
- As Admin, you can skip a Work Order directly from Open to Completed when appropriate.
- As Admin, you can cancel a Work Order that should no longer be worked, and explain why cancellation is permanent.
LESSON OUTLINE
Concept
- Status is the record of what actually happened to a task, so every transition is written to the Audit Log against the person who made it.
- Operators run the normal forward path themselves. Nothing in the everyday flow waits on an Admin.
- Corrections and exits are different. They sit with Admins, because each one rewrites or ends the record rather than adding to it.
- Two further Admin-only actions sit outside the normal step-by-step flow: skipping straight from Open to Completed, and cancelling a Work Order altogether - both are covered below.
Advancing a Work Order
- Open the Work Order and locate the Status pill (Open, In Progress, Completed), or the dedicated Status field on the Details tab.
- Click the next pill (or choose it from the dropdown) to move forward one step.
- Open → In Progress: anyone with access can do this.
- In Progress → Completed: anyone with access can do this.
- Confirm the change was recorded on the Audit Log tab.
Reverting a Work Order (Admin-only)
- On a Work Order past Open, past-status pills render amber and dashed for Admins.
- Click a past pill to revert backward one step; you'll be asked for a reason.
- Each hop writes its own "REVERT - moved back by Admin" audit row.
- Reverting a Work Order to Open unlocks its demographic fields (Customer, Due Date) again.
Skipping a step (Admin-only)
- An Admin can jump a Work Order directly from Open to Completed, without stopping it at In Progress first.
- From Open, select Completed directly from the Status dropdown or Status Strip.
- Themis-Trace still walks the Work Order through In Progress internally and writes an audit row for each hop, so the history looks the same as a normal two-step advance.
Cancelling a Work Order (Admin-only)
- Cancelling is for Work Orders that should no longer be worked at all — not a correction. Admins should use Revert instead if you just need to walk a status back.
- Select Delete in the action bar (single WO) or from the grid toolbar (bulk).
- Enter a reason note — required to confirm the cancellation.
- The Work Order moves to Cancelled, a terminal status. No role can change its status afterward, and every field becomes read-only for everyone.
- Themis-Trace writes an audit row recording the cancellation and reason.
Reassigning a Work Order
- Select Reassign in the action bar.
- Operators can reassign when the Work Order is Open, or when it's In Progress and currently unassigned.
- Admins can reassign at any status, to any user, including setting it back to Unassigned.
Verification
- After advancing, confirm the new status shows on the grid and an audit row exists.
- After a revert, confirm the status moved back one step and the reason is recorded in the Audit Log.
COMMON ISSUES

Likely cause: As an Operator, you can only reassign an In-Progress Work Order if it's currently unassigned.
Checks: Confirm the Assignee field on the Details tab.
Fix: Ask an Admin to reassign it, or confirm it's unassigned first.

No. Skipping directly from Open to Completed is Admin-only. Operators still need to advance Work Orders one step at a time.

No. Cancelled is a terminal status — no role can change it back. If the task still needs doing, create a new Work Order instead.
