LESSON INFO

Audience

  • Operators who work Open/In Progress Work Orders day-to-day.
  • Admins who oversee the full queue.
  • Anyone who needs to trace which Work Orders reference a given inventory item.

Prerequisites

  • You can navigate to Scheduling → Work Orders.
  • At least one Work Order already exists in your site.

Skills you'll build

  • You can explain what a Work Order tracks and why it exists instead of a direct inventory edit.
  • You can locate a Work Order using grid filters and sorting.
  • You can read a Work Order's status, priority, and linked items, and use its Notes, Attachments, and Audit Log tabs.
  • You can find every Work Order that references a given inventory item.

LESSON OUTLINE

Concept

  • Warehouse tasks like "hold this coil for QA," "scrap this piece," or "release after mill inspection" used to live on paper or a whiteboard. That's easy to lose, and there's no way to prove who did what and when.
  • A Work Order fixes that. It's a tracked, assigned, auditable record tied directly to the item(s) it affects, with a full history: who created it, every status change, every note.
  • Work Orders are opened directly by your team. Anyone with access to the Work Orders grid can raise one.
  • Status generally moves forward through Open → In Progress → Completed, but a Work Order can also end in a terminal Cancelled status if it's no longer needed.
    • See "Work Order status & permissions" for how skipping and cancelling work.

Finding a Work Order

  1. Go to Scheduling → Work Orders.
  2. Use the per-column filters to locate a WO by number, category, or assignee.
  3. Note the default sort: Priority descending, then Due Date ascending, so the most urgent items show up first.

Reading a Work Order

  1. Open a row to launch the Edit popout.
  2. Check the Details tab for the category, priority, assignee, and current status.
  3. Review Linked Items to confirm which inventory items the Work Order affects.
  4. Check Notes and Attachments for context left by others.
  5. Open Audit Log to see the full history of status changes and system events.

Adding your own context

  1. Post a note in the Notes tab.
    • Notes can't be edited or deleted once posted.
  2. Add an attachment in the Attachments tab.

Finding Work Orders from an inventory item

  1. Open an Inventory Item.
  2. Go to its Work Orders tab to see every Work Order referencing that item.
  3. Click a row to open that Work Order directly.
